This policy describes how Kids Care Inc handles information collected through https://kidscareinc.com, website inquiries and referrals, and our contact forms on Facebook and Instagram. It also explains how to reach us with a privacy question or request.
This website policy is separate from any Notice of Privacy Practices that applies to clinical care and health records. Please contact our team about those records or notices.
Information you share
The information we receive depends on how you contact us:
- General inquiries: your name, phone number, email address, county, service of interest, and the message you choose to send.
- Website intake or referral requests: your contact details and relationship to the child, the child’s first name and age group, county, and information you choose to provide about services, coverage, previous care, scheduling, or other needs. Some of these fields are optional.
- Facebook and Instagram contact forms: the adult contact details you submit, which may be prefilled by Meta, and administrative answers such as county or preferred tour timing. We also receive information identifying the form or ad that generated the request.
Please do not send medical records, insurance member numbers, or detailed health histories through an ad form, a general website message, or ordinary email. Contact our team to ask how to share records needed for care. If you refer someone else, provide information only when you are authorized to do so.
How we use information
We use inquiry information to answer questions, discuss our services, arrange a tour or other next step, review a request, and follow up about that request by phone or email. Submitting a contact form requests a response; it does not confirm an appointment, eligibility, insurance coverage, or a place in services.
We may keep inquiry and follow-up records in business tools, including Google Workspace and Google Sheets, so our team can track who is handling a request and what needs to happen next. We also use information about how people found our site to understand which sources generate inquiries and to operate and improve the website.
Website storage and analytics
The website uses browser local storage to remember how a visitor arrived, such as a referring page, campaign tag, or ad click identifier. That source information may be included with a website inquiry. You can clear it using your browser’s site-data settings.
When enabled, analytics and advertising tools from Google or Meta may use cookies or similar technology to receive information about visits and actions, such as pages viewed or a tap on a call link. These services may also process browser, device, and network information. Our website’s event-tracking code does not attach contact-form answers, names, phone numbers, or email addresses to those events.
You can manage cookies and local storage through your browser and review advertising choices in your Google or Meta account. Blocking storage or scripts may affect some website features. This policy does not require you to agree to unrelated marketing contact in order to ask about our services.
Your choices and requests
You can choose not to submit a form, leave optional fields blank, or contact us by phone instead. To correct contact information, ask about information we hold, request deletion, or ask us to stop non-essential follow-up, contact us using the details below.
We may need to verify your identity and authority before acting on a request. Available rights and our ability to fulfill a request depend on the information involved and applicable requirements. Some records may need to be retained. Please avoid including sensitive health details in an initial privacy-request email.
Retention and clinical records
Information may be retained to handle an inquiry, maintain relevant business records, and meet applicable recordkeeping requirements. Contact us with questions about the retention of a particular record. Clinical records may be subject to separate privacy, access, and retention requirements.
Online communications and storage involve privacy and security risks. A general contact form or marketing lead form is not a substitute for a clinical records portal. Our team can explain the appropriate next step for information needed during intake.
Parents and children
This website is intended for parents, guardians, adult caregivers, and authorized professionals. It is not intended for children to submit their own information. If you believe a child has provided information directly, please contact us so we can review it.
